Marshall Intake ("we", "us") provides an AI phone receptionist for independent auto repair shops. This policy explains what information we collect, how we use it, and the choices you have. It covers our website, our phone receptionist service, and our booking alert text messages.
Text messaging (SMS)
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
We send booking alert texts only to shop owners and staff who opt in on our booking alerts sign-up page. We use your mobile number only to send those alerts and to respond if you text HELP. Reply STOP at any time to stop receiving texts. Message frequency varies. Message and data rates may apply. See our Terms for the full text message program terms.
Information we collect
From shops that use our service
- Contact details: name, shop name, email address and mobile number.
- Shop details you give us to set up the receptionist, such as hours and services.
- Billing details. Card payments are handled by our payment processor; we do not store full card numbers.
From people who call a shop that uses our service
- Phone number and the information the caller gives: name, callback number, vehicle, the problem or service needed, and the preferred drop-off day and time.
- A pickup address, if the caller asks about a tow.
- A recording and transcript of the call. Callers are told at the start of the call that it may be recorded.
From our website
- Whatever you enter in our sign-up form, and the date and time you submitted it.
How we use information
- To answer calls for the shop and pass the booking details to that shop.
- To send booking alerts by email and, for people who opted in, by text.
- To check call quality and improve how accurately the receptionist takes down information.
- To bill shops, provide support, keep records of consent, and meet legal obligations.
How we share information
We do not sell personal information. We share it only:
- With the shop the caller called, so the shop can confirm the appointment.
- With service providers that run parts of our service for us, such as our voice AI platform, our phone and text message provider, our email and cloud storage provider, and our payment processor. They may use it only to provide those services to us.
- When required by law, or to protect the rights and safety of our clients, callers or us.
The text message commitment above applies to all sharing: mobile numbers and text message consent are never shared for anyone's marketing.
How long we keep information
We keep information only as long as we need it to provide the service, keep required records, and resolve disputes. A shop can ask us to delete its data, including call recordings, at any time.
Security
We use reasonable safeguards, including access controls and encrypted connections, to protect information. No system is perfectly secure, so we can't guarantee absolute security.
Your choices
- Stop text messages by replying STOP.
- Ask to see, correct or delete your information by emailing carter@marshallintake.com.
- If you called a shop and want your call information deleted, contact that shop or email us.
Children
Our service is for businesses and is not directed at children under 13. We do not knowingly collect information from children.
Changes to this policy
If we change this policy, we'll update the effective date above. Significant changes will be communicated to our clients by email.
